Here's what happens the moment you hit Submit

The second your application lands with us, our system runs it through a series of automated checks — hunting down typos, format issues, missing fields, anything that'd cause a headache downstream. Once it's clean, we forward it to the relevant European authority for the actual ETIAS decision. That part? Completely out of our hands. But we make sure your file is squeaky clean before it leaves us.

The 4 stages — your ETIAS roadmap 📍

1. Landed ✅

Your application hit our inbox and we confirmed it. Check your email for the confirmation right away — if it's not in the main tab, check spam. Seriously.

2. Our team checks it

We do a final pass for stuff that would cause delays: date format mix-ups, missing initials, passport numbers that don't look right. Better we catch it than a border agent does.

3. Submitted to the authority

We've fired it across to the European authority. From here, the timeline is 100% theirs. We're in the waiting room with you.

4. Decision time

Approved, more info needed, or (rarely) refused — you'll hear back by email. Keep that inbox open.

What most travelers experience (the good news)

The best part? The vast majority of travelers see a decision within minutes to a few hours of submission. We've seen plenty of instant approvals. Some files do get flagged for a manual look — that's completely normal and doesn't mean anything bad. The authority just wants to double-check. Stay cool and keep checking your email.

What slows things down — avoid these ⚠️

• Data that doesn't match your passport — letter for letter.
• Questions that need extra verification by the authority.
• Answers in your background questionnaire that contradict each other.
• Typos: misspelled names, wrong passport numbers. Classic culprits.
• A "yes" on an eligibility question that triggers a manual review.
• Recent name change, fresh passport, or dual nationality combinations.
• High-traffic periods when the authority's queue is backed up.

The three ways this can go

Approved 🎉

This is most people's story. You get a confirmation email and your authorization is electronically linked to the passport you applied with. Pack your bags.

They need a bit more info

You'll get an email asking for more documents or clarification. Jump on it immediately — every hour you sit on it is an hour added to your wait. Check your spam folder too.

Refused (rare, but it happens)

If it's a no, you'll receive an explanation by email. The appeal process is set by the issuing authority's own rules. We can help you understand the next steps, but reversing the decision isn't something we can do — that power lives with them.

Which speed should you pick? ⚡

• Standard (24h): The smart default. Apply a few days before you fly and you're golden.
• Rush (4h): Flying in the next 24–72 hours? This buys you serious peace of mind.
• Super Rush (1h): Same-day or early-morning departure — we move as fast as we can. No judgment.

Heads up: faster handling on our end gets your application into the authority's queue sooner. It doesn't force them to move faster. That part's still theirs — just being straight with you.

Every update — submission confirmation, status changes, any extra info requests — goes to the email address you gave us. Check your spam. Check your promotions tab. Add our domain to your safe-senders list now. We can't resend decisions from the authority, so don't miss them.

Why we can't see everything (the honest truth)

We're a private assistance service. That means we don't have a live window into the authority's decision-making. We pass along updates as they come through and we'll always be straight about what we know and what we don't. Head over to the Track Status page for a breakdown of what each status actually means.

The timing game — don't lose it ⏱️

• 72 hours out is our go-to minimum. Comfortable buffer for almost everyone.
• Got complications? Name change, fresh passport, dual nationality? Go a week out.
• Groups and families: add extra time — waiting on one traveler's authorization while everyone else is ready is no fun.
• New passport on the way? Wait until it's physically in your hands, then apply. Not before.

Oops — caught a mistake after submitting?

Don't panic and definitely don't fire off a brand-new application immediately. Check our Help Center first, or read the Modify Application page. Some fields are locked after submission — you need to know what's actually fixable before you act.

We don't advertise "world's fastest ETIAS" or "guaranteed approval" — because those promises are garbage. The decision belongs to the European authority, full stop. Our job is to get your application there fast and clean. Anything beyond that would be a lie, and that's not how we operate.
